Speed to lead
Call every new lead inside 5 minutes.
Then keep calling: 15 calls in 60 days until you reach them.
A live person answers. Not a robot, not a phone tree. Updated September 2026.
Set up a saved search, email the matching homes, then call, all inside 5 minutes. No answer: the lead goes on a 15-call, 60-day plan.
What happens in the first five minutes?
- Open the lead. Where did it come from, and what did they look at?
- Build the saved search. From the homes they viewed. Web leads look for homes, not for an agent.
- Email the matches. Homes first. That earns the call.
- Call. "Hi, this is (name). I saw you were looking at homes on our site and wanted to see how I can help."
- Set the stage. Reached: HOT, WARM or Nurture. Not reached: into the call plan.
60 Days of Gain
15 calls in 60 days.
Every unreached lead with a valid phone gets the plan. No tag conditions: a tag condition silently drops leads.
The first call.
The call plan starts the day after the lead arrives.
Never batch.
Check off one call task per call. Never complete missed days in bulk.
Still unreached?
The lead moves on and email carries it.
Archive.
No contact in 90 days: archive, with 24 months of value emails.
When should behavior trigger a call?
- 5 or more homes viewed. Call inside the hour.
- A saved home. Call that day.
- Back after 30 days away. Re-engage with a call and a new search.
- An inquiry or showing request. Call inside 15 minutes.
Questions
About speed to lead.
How fast should I respond to a real estate lead?
Inside 5 minutes. Saved search first, matching homes emailed, then the call.
How many times should I call a new lead?
15 times in 60 days if you have not reached them. One call task per call, starting the day after the lead arrives.
What if the phone number is bad?
Check a second number, the email signature and a name-plus-city search, text the number, and ask for a working number in every email reply. The saved search keeps running.
